Start with the quoted item
Give each order line its own reference. Record the instrument name, stated size, quantity and agreed variant, then ask which instructions apply to that configuration. For a kit, retain the itemized contents list alongside the documents. If one document covers several instruments, ask the supplier to identify the covered models rather than assuming the whole set is included.

The FDA explains that manufacturers are responsible for providing understandable, validated reprocessing instructions for reusable medical devices. Our procurement recommendation is to request the document before confirming the order, then route it to the receiving organization for review. Ask how to obtain it if it is absent from the quotation. Do not create a universal cleaning or sterilization cycle from an instrument name, material colour or perforated case.
Record the revision and covered instruments
A filename such as “instructions.pdf” leaves room for confusion. A register can preserve the document title, revision, language, covered references and date received. Retain the supplier response with the quotation so it can be found when the shipment arrives.
- Order line and full instrument reference, including stated size or agreed variant.
- Document title or identifier and issuing organization.
- Revision or issue date, language and covered models.
- Supply condition and packaging information confirmed in the quotation.
- Questions awaiting supplier or receiving-team review.
Separate device documents from shipment documents
Instructions describe the device or its handling. Invoices, packing lists and shipment-release documents serve different purposes. Keep both groups in the order file. Ask which documents can be supplied for the destination and exact order; availability and requirements need individual confirmation.

Review documents when the order changes
